Department Chair's Timeline

The Department Chair's Timeline is intended as a guide for departments planning the academic year.  All dates are subject to change.

All italicized dates are from last academic year, and have been included as a reference until the date for the current academic year becomes available. All other dates are accurate.
 

FALL SEMESTER 2016

SEPTEMBER

Due Friday, September 16: (Fall 2016 Final Program Filing Deadline)

  • Reassign the major advisees of all faculty on leave
  • Ensure all advisers in your department or program approve final fall program-filing by the deadline

Reminders:

  • Introduce new full-time faculty members at first faculty meeting (you will be contacted by the Office of the Provost)
  • Meet with junior faculty to review course evaluations form previous years by the end of September
  • Begin preparing dossiers for PoPP Reappointment in Rank and Reappointment of Senior Lecturer and Associate reviews, and referee dossiers for Promotion to Full Professor reviews (due December 15)
  • Begin planning for department majors program planning meetings

 

OCTOBER

Due Monday, October 3:

  • Proposals for Spring 2017 new courses, course changes, and program changes due to the Office of the Provost, for review by the Committee on Instruction

Due Friday, October 9:

  • Graduation materials (certified transcripts, senior project grades, nominations for departmental honors) for October candidates due to the Registrar
  • Spring Directory of Classes Information due to the Registrar

Due Friday, October 7:

  • Applications for Barnard Faculty Research Grants due to the Office of the Provost (deadline 1)

 

NOVEMBER

Due Wednesday, November 9: (Spring 2017 Student Planning Opens)

  • Ensure all instructors post textbook information for their Spring 2017 courses on CourseWorks

Due Friday, November 18: (Spring 2017 Advance Registration Deadline)

  • Ensure all advisers in your department or program approve advance spring program-filing by the deadline

Due Friday, November 18:

  • Applications for Barnard Faculty Research Grants due to the Office of the Provost (deadline 2)

Reminders:

  • Begin Department budget planning
  • Survey faculty and staff on computer requests
  • Tenure nominations for 6th year Assistant Professors due January 15th

 

DECEMBER         

Due Thursday, December 1:

  • Submit non-renewal notice in 2nd academic year to the Office of the Provost

Due Monday, December 5:

  • All appointment forms for January payroll due to the Office of the Provost

Due Friday, December 11:

  • Submit approved transcripts for February degree candidates to the Registrar

Due Thursday, December 15:

  • PoPP Reappointment in Rank and Reappointment of Senior Lecturer and Associate reviews dossiers due to the Office of the Provost
  • PoPP and Lecturer/Associate internal promotion notifications due to the Office of the Provost
  • Department budget planning requests including computer needs due to the Office of the Provost

  • Begin preparation for Third Year Reviews of Assistant Professors

 

SPRING SEMESTER 2017

JANUARY

Due Friday, January 13:

  • Notification of tenure nominations for 6th-year Assistant Professors due to the Office of the Provost

Due Monday, January 18:

  • Nominations for departmental honors and senior project grades for February Degree Candidates due to the Registrar

Due Friday, January 27:

  • Tow Award for Innovative and Outstanding Pedagogy applications due to the Office of the Provost
  • Applications for Barnard Faculty Research Grants due to the Office of the Provost (deadline 3)

Due Friday, January 27: (Spring 2017 Final Registration Deadline)

  • Reassign the major advisees of all faculty on leave
  • Ensure all advisers in your department or program approve final spring registration by the deadline

Reminders:

  • Prepare requests to the FBPC to request/affirm line allocations for new faculty searches and continuing faculty lines scheduled for reappointment review in coming academic year (due Friday, February 5)

 

FEBRUARY

Due Wednesday, February 1:

  • Referee and comparison lists for tenure nominations due to Office of the Provost

Due Thursday, February 2:

  • Proposals for Fall 2017 new courses due to the Office of the Provost, for review by the Committee on Instruction

Due Friday, February 5:

  • Requests to the FBPC to request/affirm line allocations for new faculty searches and continuing faculty lines scheduled for reappointment review in coming academic year due to the Office of the Provost

Due Friday, February 12:

  • Fall Directory of Classes information due to the Registrar
  • Revisions to the First-Year Guide due to the First-Year Dean

 

Reminders:

  • Begin preparing departmental nominations for teaching awards
  • Begin applications for Presidential Research Awards (due Friday, March 3)
  • Begin preparing nominations for College-wide fellowships and prizes

 

MARCH

Due Wednesday, March 1:

  • Dossier materials for fall tenure cases due to the Office of the Provost
  • Completed internal promotion materials due to the Office of the Provost
  • Submit non-renewal notice in first academic year to the Office of the Provost

Due Friday, March 3:

  • Presidential Research Award applications due to the Office of the Provost
  • Virginia C. Gildersleeve Professorship nominations due to the Office of the Provost

Due Thursday, March 10:

  • Submit nominations for College-wide fellowships and prizes to the Dean of Studies

Due Wednesday, March 15:

  • Completed Third Year Reviews of Assistant Professors, Assistant PoPPs, and Lecturers/Associates due to the Office of the Provost

Due Wednesday, March 22:

  • Department nominations for teaching awards due to Department Chairs (one week prior to the 2nd March Chairs Meeting)

Due Friday, March 31:

  • Applications for Barnard Faculty Research Grants due to the Office of the Provost (deadline 4)
  • COOL Grant proposals due to the Office of the Provost

Reminders:

  • Begin preparing Professional Development Leave (PDL) applications (due Monday, April 3)
  • Begin preparation of materials for annual assessment report and announce annual departmental assessment meeting

 

APRIL

Due Monday, April 3:

  • Professional Development Leave (PDL) applications due to the Office of the Provost

Due Monday, April 11: (Fall 2017 Advance Registration Opens)

  • Ensure all instructors post textbook information for their Fall 2017 courses on CourseWorks

Due Wednesday, April 13:

  • Submit departmental nominations for teaching awards to the Office of the Provost

Due Thursday, April 14:

  • Submit transcripts and nominations for departmental honors for May graduation candidates to the Registrar.

Due Monday, April 25: (Fall 2017 Advance Registration Deadline)

  • Ensure all advisers in your department or program approve advance fall registration by the deadline

Reminders:

  • Begin compiling Chair’s Annual Report

 

MAY

Due Friday, May 6:

  • Submit completed faculty personnel forms to chairs and the Office of the Provost
  • Submit senior project grades for May degree candidates to the Registrar. 

Due Tuesday, May 10:

  • Submit revised information for Guide to Academic Advising to the Dean of Studies

Reminders:

  • Last opportunity to make purchases in the current fiscal year’s budget

 

SUMMER (Approximate Dates)

JUNE

Due Thursday, June 2:

  • Submit Chair’s Annual Report for salary review and annual assessment report to the Office of the Provost

Due Late June:

  • Administrative employee evaluations due to the Office of the Provost
  • Confirm delivery of all orders before fiscal year ends

 

JULY

Reminders:

  • Final department budgets distributed

 

AUGUST
