I-9 Verification
Form I-9 is a form that employers are federally required to complete for all new employees within 3 days of hire to verify their employment eligibility. Form I-9 is made up of two sections - the first section is completed by the employee to share standard identifying information and the second section is completed by a representative to verify the employee’s authorization to work in the United States. In order to complete Section 2 of Form I-9, the reviewer must view the employee’s work authorization document(s) in person.
I-9 Verification
As part of the hiring process, all new employees are required by law to complete the two-part I-9 process within three business days of their hire/start date. Barnard uses E-Verify, a government service, to match employee's documents to existing federal records that confirm both identity and employment authorization. Employees and their reviewers will complete Form I-9 in Workday and Barnard College will then submit the completed Form I-9 to E-Verify for verification.
Instructions for Completing Section 2 of Form I-9
Section 2: Review and Verification
The designated reviewer will receive a link in an email to complete Section 2 of the employees Form I-9. This section must be completed no later than the third business day after the employee’s start/hire date.
Step 1: Examine Original Documents
The employee must present their original, unexpired documents to you in person. These documents must establish both their identity and authorization to work in the United States.
They may provide either:
- One document from List A, or
- One document from List B and one document from List C
Refer to the List of Acceptable Documents for more information.
Step 2: Complete Section 2
Confirm Your Information
- Your First Name, Last Name, and Email will auto-populate
- Review the information for accuracy
- Check the “I Agree” box, and click Next
Review Employee’s Section 1
- Information from the employee’s completed Section 1 will appear automatically.
Enter Document Information
Review the documents presented by the employee and enter the document information in the fields provided. Depending on the documents provided, you may need to enter 1 or more documents.
- Select the Document Title (use search or type in the box)
- Enter the Issuing Authority (if not auto-filled)
- Enter the Document Number (if applicable)
- Enter the Expiration Date (if applicable)
- Click Next
If using List A, leave List B and C fields blank. If using List B and C, leave List A fields blank.
Review Section 2 Information for Employee
- Review all entered information for accuracy.
- Enter the employee’s first day of employment. This is typically the start or hire date listed in their offer letter.
Signature of Employer or Authorized Representative
- Check the “I Agree” box
- Enter your relationship to the employee in the Title of Authorized Representative field. (e.g., Family Member, Friend, Other, or Barnard College)
- Enter your Last Name and First Name
- The remaining fields will be auto-populate
Upload Documents
- Upload clear images (front and back) of the documents in the attachments box.
- Please refer to the list of acceptable documents to ensure the employee has provided the necessary documentation. If their work authorization is granted by a visa, please be sure to also enter and upload any visa and accompanying documents they may present to you.
- Click the Submit button. By submitting, you are attesting that the documents appear to be genuine and relate to the employee.
