(in accordance with Campus Events and Approval Policy)
Events Management coordinates the scheduling of on-campus events and activities in event spaces. The Registrar’s Office is responsible for assigning classrooms for instructional purposes. After the academic class schedule is set, Events Management is responsible for coordinating events and activities in classrooms.
To maximize the success of events and meet fulfillment schedules, we ask that arrangements, including set-up needs, audiovisual equipment, and support requirements, and security needs, be made with Events Management by Barnard faculty & staff at least 14 calendar days prior to the event. We ask that designees for SGA and GBB-Recognized Clubs and organizations submit event requests a minimum of 28 calendar days prior to the proposed event for planning purposes. If you are a member of the Barnard community, please make your event requests online.
If a meeting room is needed, and no additional resources, including facility set-up, audiovisual, security, or catering are required, we facilitate requests online up to three days prior to the event.
Requests with less notice than outlined above cannot be made online. Please contact Events Management directly at spaceres@barnard.edu. We understand that last-minute arrangements are sometimes necessary and work to facilitate the requests based on available resources.
Depending on the resources needed, nature of the event, and timeline with which Events Management is notified of need, Events Management reserves the right to deny requests.
After arrangements are finalized, the event organizer will receive an online event confirmation which includes the date, time, and location of the event as well as other related information. The College reserves the right to revoke confirmation at any time including, but not limited to, the following circumstances:
- Anticipated guest attendance increases beyond the capacity of the venue reserved.
- There is the potential for an unmanageable safety concern.
- Promotion of the event (including, but not limited to, the date, time, and location) occurs prior to event approval.
- Resources needed to support the event change and exceed the scope of what was detailed in the initial request and/or consultation/assessment.
- Event date changes to a date that is earlier than initially requested and, therefore, falls within the timeframe of support and/or space is not available.
- Emergencies or other crisis, for example, weather, pandemic, or disaster

The Facilities Services staff maintains the physical environment of the Barnard campus, including but not limited to classrooms, event spaces, and grounds. Facilities staff ensures that the set-ups are made and spaces are cleaned according to the event requirements provided by Events Management.

The CARES department includes four units: Response Team, Community Safety, Nondiscrimination & Title IX, and Preparedness.
The work of the department provides attention to the complexity of safety across all elements: physical, fire and life, structural, interpersonal, and psychosocial. The department contributes to and supports a safe, healthy, and inclusive learning environment for students, faculty, and staff to thrive as they live, work, and study on campus, as well as those visiting our campus community.

Videography Services provides video recordings, camera feeds for hybrid events, and photography for academically driven events on Barnard’s campus. Barnard College Approved Caterers
Events requiring catering services must be supported by Chartwells or another Barnard College-approved caterer. Events Management can provide additional information about the various caterers upon request.
