An IMATS videographer will swap the standard Zoom laptop webcam with an advanced, high-definition camera.

Zoom Video Feed Workflow - Day of Event
- An IMATS videographer arrives 30 minutes to 1 hour prior to event start time. The videographer will set up the camera on a tripod and connect to the audio feed provided by AV Services as well as to a laptop for feeding into your zoom meeting.
- The designated on-site event host arrives 30 minutes prior to event start time. The host will review the run of show with the IMATS videographer and AV technician.
- The videographer opens the Zoom link provided by organizers with the video and audio feeds connected. Event host pins and/or spotlights the IMATS video feed for the remote audience.
- A member of the event organizing team enters the Zoom session as an audience member to test the video and audio. Slight adjustments can be made to enhance the camera framing.
- If recording, the event host begins the zoom recording at the start of the event.
- During the event, the event host manages the Zoom session while the videographer manages the camera. Designated individuals from the event host’s team may facilitate slide switches (if there’s a presentation) and running Q/A mics.
- The event host ends the Zoom session and the videographer exits the meeting. There is no deliverable for the Video Feed for Zoom service.
What do we need from you?
The following information is critical to our internal workflow for your videography request.
- Submitted via Google Form
- Zoom link
- Name of on-site event host and their email
- Submitted via confirmation email, making sure to cc videography@barnard.edu
- Run of show details (include all updates)
- Any significant notes about the event
- E.g. The presenter is a renowned external guest, there’s audience participation that needs to be captured, the presenter will be moving across stage often.
- From the on-site event host, day of the event
- Arrive at least 30 minutes before the event start time to run sound and Zoom checks
- Bring headphones, a laptop/phone to enter the Zoom room, and any laptop adapters if needed
- Designated person for switching slides if there’s a presentation
- Designated person for managing the Zoom event (e.g chat, Q/A, recording the Zoom, etc.)

- When should I submit my run of show details?
Ideally we would like to know your run of show details as soon as possible. Please reply to your event confirmation email thread with all your updates, making sure to CC videography@barnard.edu on all communications.
- What happens if any details I submitted to the form change between now and the event date?

- Will IMATS be managing the Zoom event?
No. IMATS will only provide a video feed for your Zoom event. The on-site event host will be responsible for managing the Zoom, including fielding the chat and Q/A functions.
- Will IMATS record the Zoom event?
No. IMATS cannot record the event through our video camera while it’s simultaneously being used as the video feed for your Zoom event. However, the event host can record the Zoom session from their device and save the file onto their computers.
- If I record and download my Zoom event, can IMATS edit it?
IMATS doesn’t offer editing services for externally captured footage, like Zoom recordings, at this time.
- Do I need to use Zoom?
We recommend using Zoom as your video/audio communication platform. IMATS staff is most familiar with this platform and would be comfortable troubleshooting errors should they arise. If the event host is familiar with another platform, the IMATS videographer can work with them to connect the video camera feed. However, they may not be able to assist with troubleshooting unfamiliar software.
